To manage home care patient notes delivery requirement, Intermountain Health (IMH) had to manually print notes from their patient records, scan them, and upload the documents into the 3rd party SkyMail portal for processing and mailing. This manual process was time-consuming, error-prone, and inefficient.

Solution

Keena automated the backend portion of this workflow, enabling the visit notes to be sent automatically to the Skymail portal with a print-friendly digital cover page that includes the patient’s mailing address, return address, and business information—streamlining the process from documentation to delivery.

Keena automated the out-of-network referral workflow interface beginning at the order requisition stage. All supporting documents and lab results are automatically saved to the patient chart and seamlessly integrated into the EHR’s standard referral/faxing workflow—eliminating the need for third-party faxing services.

Converting Static Patient Intake Notes into Structured Searchable Data

Challenge

At Instant Medical Holdings (IMH), all patients completed intake forms using a third-party application from Clearwave Inc. While basic demographic and clinical information transferred directly into the patient’s chart in Altera Touchworks EHR, detailed clinical notes were stored as static PDF documents. This limited access to valuable discrete clinical data, making it difficult to meet regulatory and insurance reporting requirements, and internal performance tracking.

Keena automated the extraction of discrete data elements from the Clearwave intake forms, converting them into structured, searchable data within the Touchworks EHR.
